This policy explains why data is collected, how it is used, who it may be shared with and how it is protected across the Pratix website, panel.pratix.net, QR Menu, Online Reservations, free tools and associated SaaS services.
1. Scope
This Privacy Policy applies to visitors to the Pratix website, customers who create dashboard accounts, business managers and staff, visitors using free tools, and businesses receiving services through Pratix products.
As services under the Pratix brand are digital SaaS products, some data may be collected directly from customers, some during dashboard use, and some automatically for technical security and service continuity.
2. Information Collected
- Account information: full name, email, phone number, password hash and session information.
- Business information: business name, authorized contact, address, tax details, locations, logo and brand settings.
- Subscription and payment information: plan, billing period, payment status, refund requests and transaction records.
- QR Menu data: categories, products, prices, descriptions, images, languages, themes, tags and allergen information.
- Online Reservations data: customer name, phone, email, date, time, guest count, notes, tags and status.
- Business staff information: username, role, permissions, associated business/location and activity history.
- Support and contact information: request subject, message content, support notes, email and interaction history.
- Technical data: IP address, browser and device information, error records, and security and usage logs.
3. Data About Our Customers’ Customers
When using Online Reservations, QR Menu or similar Pratix products, businesses may enter their customers’ names, phone numbers, emails, bookings, preferences, notes or similar information into the system. This data is processed to enable the relevant business to manage its services.
Businesses are responsible for complying with applicable legislation when collecting and using their customers’ personal data. Pratix endeavors not to use this data for purposes other than providing the service, security, technical support, reporting and legal obligations.
4. Purposes of Use
Data is used to create accounts, provide SaaS services, manage subscriptions and plans, track payments, assess refund and cancellation requests, respond to support requests, monitor security, prevent misuse, prepare reports, send notifications and fulfill legal obligations.
- Creating dashboard accounts and securing sessions.
- Managing businesses, locations, users, roles, products, reservations and plans.
- Tracking payments, subscriptions, renewals, refunds and financial records.
- Sending SMS, email, dashboard notifications or support communications.

5. Payment Security
Pratix does not store credit card numbers, expiry dates or CVV details, view them manually or keep them in its database. Payments are processed through the secure infrastructure of PayTR or the relevant payment provider.
Pratix may retain only payment data necessary to provide the service, such as payment results, order numbers, payment status, amounts, currencies, subscription links, refund/request status and accounting records.
6. Third-Party Services
Depending on the service, payment providers, email infrastructure, SMS providers, hosting, domain/DNS services, security services, AI services, analytics tools and technical support systems may be used. Such sharing is limited to service delivery, security, payments, support and legal obligations.
- Payment providers: payment collection, verification, refunds and transaction security.
- SMS/email providers: reservation, payment, notification and support messages.
- Hosting and infrastructure providers: operation of the dashboard, website and public applications.
- AI services: description suggestions, content enhancement or image enhancement in eligible plans.
- Analytics and logging systems: monitoring usage, errors, performance and security.
7. Data Use in AI-Powered Features
Pratix may offer AI-powered features such as product description suggestions, text enhancement or image enhancement in eligible plans. When these features are used, data required for the task, such as a product name, category, description, short note or image, may be sent to AI services.
The aim is to avoid sending unnecessary personal data to AI services. Users should not enter customer names, phone numbers, emails or private personal information in prompt/text fields when using AI features.
8. Cookies and Similar Technologies
The Pratix website and dashboard may use cookies or similar local storage technologies for session management, security, remembering preferences, basic performance measurement and improving user experience.
- Essential cookies: required for login, security and dashboard operation.
- Preference cookies: may be used to remember language, theme or user preferences.
- Analytics cookies: may be used to understand visit and usage performance.
9. Logs, Security and Misuse Prevention
Pratix may keep technical logs to secure the system, diagnose errors, prevent bots/spam, monitor unauthorized access attempts and maintain service continuity. These logs may include IP addresses, device/browser information, request times, error messages, user accounts and transaction types.
10. Retention Period
Data may be retained for the duration of the service relationship, until subscription and payment processes are complete, and throughout applicable statutory retention periods. Accounting, payment, refund, invoice, security and audit records may be retained longer.
If a customer account is closed, suspended or subject to a deletion request, some personal data may be anonymized in line with legislation and technical requirements; financial and legal records may nevertheless be retained.
11. Data Security
Pratix applies reasonable technical and organizational measures to prevent unauthorized access, data loss, misuse and security breaches. These may include role-based access, session controls, password hashing, activity logs, permission checks and necessary infrastructure security practices.
No internet-based service can guarantee absolute security; however, Pratix aims to exercise the care needed to reduce risks and respond promptly to security incidents.
12. Data Transfers
Data may be shared with service providers, payment institutions, SMS/email services, hosting providers, technical support providers, legal authorities or authorized public bodies only to the extent necessary to provide the service or fulfill legal obligations.
13. User Rights
Users and customers have the right to request information about their personal data, request correction, learn the purpose of processing, request deletion or anonymization where permitted by law, and submit applications regarding data processing.
Identity verification, account ownership, statutory retention obligations, payment/invoice records and technical security requirements may be considered when assessing applications.
14. Policy Updates
Pratix may update this Privacy Policy as products develop, new modules are added, or legal or technical requirements change. The current text takes effect from the date it is published on pratix.net.
